One of the issues that most small business owners overlook when starting out in business is the use of technology. Whilst computer technology may require a significant investment when starting out; Overtime, if your systems are built correctly they will in fact save you very large sums of money, in particular in the area of staff wages.

When I first started my business, One-on-One Personal Computer Training, I started out with a ,000 Credit Card, which when you talk to any business adviser or business-coach is absolutely the worst thing you could do. One of the issues I have been most conscious of is the cost of having a large number of staff. The way I achieved a high level of efficiency in such a competitive market was to automate as many of the day-to-day tasks as I could. The best tasks for business automation are those that are repetitive.

As Words

As soon as I mention the word Business Automation, most technophobes will put up a barrier and go into a minor or major fit. Business automation can be as simple as creating just a few Microsoft Word templates. Business automation doesn't necessarily mean hiring a huge plethora of software developers and toiling day and night to build some monsterous and complex system. It can and should be simple so that you as a business owner can in fact do it yourself. Let me explain!

Microsoft for all its good and bad issues, has provided business one of the most awesome tools - Microsoft Word allows you to build templates that you can reuse as many times as you wish.

What Is A Microsoft Word Template?

Essentially, a Microsoft Word Template is like any traditional word document, the difference is that it is designed to be reused as many times as you require. Why not create a normal word document then. Well, the difference is that when you use a Microsoft Word Template, you can store the template under the New dialogue box, so that each time you want to use the document you go to that one point and it will be available.

Did you know that you can even create your own folders in the New dialog box? If you didn't know this, all you have to do is to simply create a new folder where all your templates are stored. On each of our company's computers we have a special folder called one-on-one where we store each of our templates for use by our staff

What Sort Of Templates Might You Need?

This is one of the key questions I get asked the most. The most common templates I see small businesses require are items like Sick Leave Forms, Leave Applications, Order Forms, Sales Letters, Purchase Order Forms and so forth.

One of the reasons why I chose to build Microsoft Word Templates in my business was to ensure a level of continuity of contact with our customers. By building a series of Templates such as:

- A Company Letter Head

- A Company Fax Sheet

- A Company Leave Application

- A Company Thank You Letter

- A Company Weekly Timesheet

- A Company Sales Letter

- A Company Visitor Sign-in Sheet

- A Company Purchase Order Form

- A Company Order Form

By having these forms in a central place I have ensured that my staff don't need to be recreating these styles of documents each time they have to send a letter or fax. Further to this, I know that certain sales letters used by my staff will achieve the sales outcomes that I am looking for. By using a Microsoft Word Template, they know that when they get and enquiry that they can simply fill-in the customer details and the letter is done.

In our sales letter templates we use Microsoft Word's Fill-in field to prompt our staff for key information like the Customers Name, Address and Company Name ensuring that the information does get put into the letter. Once they have completed that they simply press the Print button and its ready to go to the customer. As a business owner, knowing that that's all my staff have to do to achieve the sales makes me feel far more comfortable than them having to write their own customised letters each time a customer enquires about our training.

Microsoft Word templates are an incredibly useful tool in automating common documents that your staff maybe creating and I believe that this is the first process that all business owners should be using in automating their business.

Microsoft Word 2003 - Create a Colorful Venn Diagram Easily

I love Venn Diagrams because nothing comes to close to expressing the logical relationships between different sets of elements that well.

With Microsoft Word 2003 you can create fantastic looking and colorful Venn Diagrams on the fly, with as many elements and colors as you need.

As Words

It helps to launch your DRAW toolbar first before you do anything else.

Then follow these steps:

1) Click the 3-balls icon (the tool tip text should read "Insert Diagram or Organization Chart") to display the Diagram Gallery dialog box.

2) Click and select the Venn Diagram icon on the lower-center to insert a default Venn diagram and also to display the Diagram mini tool-bar.

3) To add a new set of elements (represented by each CIRCLE in the diagram), click the Insert Shape button on the mini tool-bar.

4) To move the circle shapes around, click the clockwise or counterclockwise buttons until you get the desired positioning.

5) Click the "Click to Add text" text to enter any text you want to identify the individual elements.

6) Click the Text Wrap button to apply text wrapping, if there is any need.

7) Click Autoformatting button on the mini tool-bar to select a pre-saved format template for the whole diagram.

8) You can change the formatting of any individual slice by selecting it and then clicking the appropriate formatting buttons on the DRAW toolbar.

There are quite a few professional graphic creation software out there, like Adobe Illustrator. But why spend the extra money when you have at your disposal great free graphic tools already built into your MS Word?

Book Writing - Using Styles in Microsoft Word

When writing a book, and submitting it to a publisher it is important to give your manuscript a professional look. The best way I've found to do that is by using styles.

Some people may tell you that MS Word is not the best program to use for a book manuscript, but it is the program most users have on their computer, and Word is a format accepted by most publishers. Publishers have their own typesetters and use book set up programs they like best. Since Word is easy to use and has a lot of good features for writers, I'll share some tips about using styles in Word.

As Words

You will use a variety of formatting styles in writing a book:

* chapter headings

* page headers and footers

* Body text

* italicized text

* underlined

* works cited/bibliography

* table of contents

* bullet points

* hyperlinks

To set a style, go to format on your tool bar. Click on styles and formatting, then click new style. A box will open and you will give the style a name such as regular book text, italic book text, etc. You may change the style type in the drop-down boxes below. For example, you may want body text to follow your chapter headings.

If you want your newly created style to be available next time you open a new document. You will need to add it to the template. While you have the window open, look at the bottom of the dialogue box, check the box for "add to template" and "automatically update". This means that whenever you decide to change something to one section of text, Word will automatically change all sections of text which have been assigned that particular style. Don't close the box yet. There's more to do.

Now click on the format button on the left side of the dialogue box. Set your font and paragraph or any other feature you need such as tabs or bullet styles. Click ok to close.

Now highlight an area of text that you want to assign to the style you just created. On the toolbar just below "file" in the upper left side of your Word document there is a box next to the font type that you may have noticed and wondered what it is for. This box has a drop down menu from which to choose a style. In the list, find the style you just created and click on it. Close the box. The highlighted text will then be formatted to the style you just specified.

You can modify the style at any time by going to "format" on your toolbar at the top of your document screen. Select styles and formatting which will open another window. There is a list of all the styles you have available to choose from. Right click on the style you want to modify and use the regular toolbar to make the changes.

Microsoft Word - How Good Is It?

Microsoft Word is the most premier word-processing software available. It is a part of Microsoft Office, an office suite of applications. Microsoft Word is a powerful tool that creates professional looking documents. It is able to create complex layouts for brochures or newsletters that print great to your desktop printer but it is not a true desktop publishing program. Microsoft Word is currently the most common word processor on the market. Many times, it is used to create a file that will eventually exist in another format.

You can also create web documents using Word. There is a tools menu that will check spelling and grammar in the active document for possible spelling, grammar, and writing style errors, and displays suggestions for correcting them. It can be used for complex documents normally designed in a dedicated page layout program. This easy-to-use software, allows business people to compose their thoughts in a fairly decent looking documents, complete with formatting and pictures. When Word is opened, a new blank document should automatically open. If not, then you can begin a new blank document in another way. First, find the "New Blank Document" icon, which looks like a blank sheet of paper, located underneath the menu bar in word in the standard toolbar. " Click on the icon to bring up a new blank document. To begin typing, just click the cursor anywhere within the new blank document.

The toolbars in Microsoft Word provide easy access to the user. To create a document based on one of the templates provided, select which one you would like to create and select OK. There are other services that will work with your Microsoft Word files, but in most cases Word documents are most suited to desktop printing or photo copying, and not for full-color or high-volume commercial printing. You can use the original Word file or save a Word document as a PDF or HTML file. If you export the Word document to another format, ensure it is accessible as well. There is only a very small number of programs that can save Word documents as properly tagged PDF files. If you use another program to save a Word document as a PDF file, do not be surprised if the exported PDF is not accessible to screen reader users. A document with complex tables or forms will probably need to have the tagging process completed in Acrobat. It is possible to convert a Word document into a properly tagged PDF if you can verify the following. The Word document has been appropriately tagged.

3. In Microsoft Office Tools click on Microsoft Office Diagnostics.
4. Click on Continue button after program launches.
5. Follow the instructions.
6. Done.

There is another thing called registry about which only few people know that it can cause your applications to crash just as Word 2007 crashes. Manually fixing registry related issues is risky job. In this situation you must opt for reliable registry cleaner and PC optimizer software.

Microsoft Word 2003 - Create an Organization Chart in a Second

You can create an amazing variety of fantastic-looking Organization Diagrams in Microsoft Word 2003 without using any external graphic programs.

1) Display your DRAW toolbar by selecting View > Toolbars > Drawing.

As Words

2) Place your cursor where you want to insert your chart or diagram.

3) Click the 3-spinning-balls icon on your DRAW toolbar. The tooltip message should read "Insert Diagram or Organization Chart."

4) From the Diagram Gallery window, select the Organization Chart button on the Upper Left. The ORGANIZATION CHART Mini-Bar display automatically.

5) Click Insert Shape drop-down menu on the Mini-Bar to insert "subordinate," "coworker" or "assistant" boxes.

6) Click the Autoformat button on the Mini-Bar to select one of the chart templates.

7) To delete a box, click the Select drop-down menu on the Mini-Bar, then press the Delete button.

8) Click on individual boxes on the chart to add text.

9) Click Layout drop-down menu on the Mini-Bar to change the layout of the whole chart and select one of the following options: Standard, Both Hanging, Right Hanging, Left Hanging.

10) Select a text wrapping option (if need be) by clicking the Text Wrapping button on the Mini-Bar and selecting one of the available options.

11) Experiment with other buttons on the DRAW toolbar for an infinite variety of different effects. For example, select an organizational box and change its color by clicking the Paint Bucket button, or add drop shadows by clicking 3D button and selecting an option.

There are several expensive graphic-creation software out there as well. But why spend the extra money when you have great tools at your disposal, already built into the MS Word?

Word 2010 Crashes - How to Fix Microsoft Word 2010 Crash
